What to check when you collect your hire van

By UKSelf-DriveDirectory 4 min read 2 August 2026

A 5-minute check at collection can save you a disputed damage bill later. Here's exactly what to inspect before you drive away.

The collection check is the single most important thing you can do to avoid a disputed damage charge. Take five minutes before you drive off.

Before you set off

  • [ ] Walk all the way around the van — photograph every panel, corner and bumper.
  • [ ] Note any existing damage on the check sheet, no matter how small — scratches, dents, scuffs.
  • [ ] Check the wheels and tyres — look for damage and check tread depth.
  • [ ] Inspect the windscreen and glass for chips or cracks.
  • [ ] Check the load area — the floor, walls and any lining.
  • [ ] Test all lights — headlights, indicators, brake and reversing lights.
  • [ ] Check fuel level and confirm whether it's petrol or diesel.
  • [ ] Note the mileage and confirm the return-mileage allowance.

Inside the cab

  • [ ] Adjust the seat, steering wheel and mirrors.
  • [ ] Find where the wipers, lights, indicators and heater are — don't learn these on the move.
  • [ ] Check the fuel card / key and any spare.
  • [ ] Check the overall height sticker — memorise it, especially for a Luton or box van.
  • [ ] Find the spare wheel, jack and locking wheel nut (if fitted).
  • [ ] Pair your phone to Bluetooth if you'll use it for navigation.

Driving an unfamiliar van

  • Take it slowly for the first few miles — a van is wider, longer and taller than a car.
  • Check your mirrors before every manoeuvre; remember the blind spots.
  • Approach low bridges and car parks with caution — your height clearance is your biggest risk.
  • Allow more braking distance — a loaded van takes longer to stop.

On return

  • Refuel to the agreed level (usually full-to-full).
  • Clean out the load area — many firms charge a cleaning fee if you return it dirty.
  • Photograph the van again as proof of the condition you returned it in.
  • Get a member of staff to sign off the return, or keep a time-stamped record.

A few photos at collection and return are the cheapest insurance you'll ever have.
